  1. Heartland staff conduct their on-going Donor Drive to obtain Christmas hamper campaign support.
  2. Donors are recorded with Name, Address, and contact Tel, Fax Number and Email address. (By November 10th Donors are contacted with a match to a Family in need of a Hamper).

  1. Heartland staff call all EvenStart families in need of Hampers.
  2. A 'Needs & Wish List' is complied for each family, by our staff.
This family list is given to the donors from which the hamper items are filled.

A Family "Needs & Wish List" includes:
- Family members' names
- Genders
- Clothing & Shoe sizes
- Critical Needs (by person)
- Gifts-Wish & Needs List (by person)
- Itemization of General Family Household Needs

  1. Donors are matched to Families in Need.
  2. Completed Family Lists are forwarded to each Donor by FAX from our office.
  3. Donors commence their Hamper assembly

Donors assemble their assigned Family's Hamper.

Hamper Assembly includes:

filling the Family Needs List of items.
- filling the Household & Personal Needs per the 'Suggestion List'- click here.
-
adding Grocery Cards, and/or Bus Tickets, and/or Gift Cards (WalMart, Sears etc)
(please put these into a separate envelope inside Hamper or hand over to Hamper pick-up person to make sure it doesn't fall out or get misplaced.)

Please

include xmas wrapping paper/scotch tape in your hamper if you can :-)
- include the Family Needs check off list:

please check off the List for all items that you have filled

circle items not filled so that our staff can augment the Hamper accordingly.

nclude your Hamper expenditure receipts and completed Tax Receipt Form,

(i.e., if you are requesting a tax receipt for your hamper expenditures.)

  • Donors, please place hamper items into cardboard boxes or plastic tubs.
  • On the box, please write the assigned Family#/Family name/your Donor name.
  • Donors, please DO NOT WRAP GIFTS - TAG THEM ONLY with the family member names;
    NOTE: The reason is that Heartland staff must first check hampers for completeness and supplement if necessary, based upon the 'Family Needs & Wish List'.

NOTE: If you cannot fill the Hamper in accordance with the 'Family Needs & Wish List' please advise us early as we can assign cash donations from other donors to augment the Hamper and complete the assembly.

  1. Heartland staff consult with all donors to ensure Hamper's are filled according to Family Needs Lists or if there are any concerns with completion.
  2. Heartland staff purchase additional household and personal items to complete all Family Hampers.
  3. Heartland staff purchase Grocery Cards and Gift Cards for all families from other cash donations.
  4. Heartland Staff arrange pick-up and delivery schedules with Donors and Families.

  1. Heartland Staff pick up rental trucks/arrange personal vehicles for deliveries.
  2. Heartland Staff pick up Hampers from all Donors (December 15 and 16).
  3. Heartland Staff place Grocery Cards and Gift Cards into Hampers related to Family size.
  4. Hampers are delivered to Families (December 17 & 18).

(Some donors may wish to drop off Hampers directly to their assigned Family or to Heartland offices. Please tell us if this is what you wish to do before we set the pickup/delivery schedules. Thankyou :-)

  • If you have questions about providing additional items not on the Family's List, please email us and we can tell you of a family that might best benefit from other donated specialty items or services.

  • Most families cannot afford vehicles, so Transit passes are a high need and any number and denomination can be added to your hamper assembly.
    Please ask us about what amounts are appropriate per assigned family for
    Grocery Cards, Gift Cards WalMart, Sears etc., or Calgary Transit Tickets (we base this upon the known needs of each family).
